Decide the review path before the first draft exists.
Who decides, who reviews, and who is accountable?
Draft pathway. This content was written for the site and is awaiting content-owner review. The learning material in Learn with AI and Build Responsible AI has already been reviewed; this pathway has not.
Governance for a small team is not a policy binder. It is four answered questions: who approves the use, who checks each output, what happens when something is wrong, and which decisions never leave a person.
- Name a person, not a role that does not exist
'The team reviews it' means nobody reviews it. Governance needs a named accountable person.
- Decide the reversal path first
Agree how a mistake is corrected and communicated before you need it.
- Protect the decisions that must stay human
List what AI may never decide here — and make that list visible to everyone using the tool.
Maya's team agrees that volunteers may use AI to draft reminders from approved programme details. They have not agreed what happens when a draft adds a detail that was never in the source — such as a promise of free transport.
Maya and every example here are prepared learning material, not a real case or an AI-generated result.
My governance outline
- Write the permitted use
State what the tool may be used for and what it may not. Keep it to a few lines people will actually read.
- Name the reviewer
Identify the person who checks output before it reaches participants, and their backup.
- Agree the correction path
Decide how an error is caught, corrected, and communicated to anyone who saw it.
- List what stays human
Write the decisions AI may never make here — eligibility, commitments, anything about an individual participant.
A draft invents a commitment.
A volunteer's draft reminder includes 'Free transport is provided' — which appears nowhere in the approved details.
What does a working governance process do here?
Every option has an explanation. Open as many as you like — nothing is recorded or scored.
