03 · Guide people through the change

Change the way a small team works without breaking what already works.

How do we bring people with us?

Draft pathway. This content was written for the site and is awaiting content-owner review. The learning material in Learn with AI and Build Responsible AI has already been reviewed; this pathway has not.

01 / Understand it

In a small team everyone can see everything, so a change lands fast — and a badly handled one damages trust fast too. Introduce it where a mistake is cheap, and let the person who does the work judge whether it helps.

  • Start where an error is cheap

Internal drafts before customer-facing ones. Earn the right to move outward.

  • The person doing the work decides if it helps

Time saved on paper is not time saved if the review is harder than the task.

  • Protect the relationship

Customers notice tone changes. What made your quotes good should survive the change.

02 / See it in context
Meet PriyaSmall supply-business owner

Priya's assistant is faster with the drafting tool but says the quotes 'do not sound like us'. A regular customer has remarked that a recent quote felt impersonal. Quoting is quicker; something else has slipped.

Priya and every example here are prepared learning material, not a real case or an AI-generated result.

My change plan

  1. Name what must not change

Describe what makes your customer communication work now — tone, directness, the questions you always ask.

    You produce
    A short note on voice.
    Worth reviewing with
    Whoever has the customer relationships.
  2. Start internal

Use drafting first for internal notes and summaries where an error costs nothing.

    You produce
    A starting scope.
    Ask yourself
What would earn the move to customer-facing?
  3. Ask the person doing the work

After a set period, ask directly whether it helps — including whether review takes longer than the old way.

    You produce
    A direct answer recorded.
    Ask yourself
Is 'this is not helping' an acceptable answer?
  4. Decide with evidence

Compare time, corrections, and customer response against the baseline. Choose continue, adjust, or stop.

    You produce
    A decision and its reason.
    Ask yourself
Would you notice if it were quietly making things worse?

Faster, but the customer noticed.

Quotes go out quicker. A long-standing customer says a recent one felt impersonal.
